1. Who we are

L1NKOS is operated by L1NK Limited, a company registered in England and Wales under company number 16207204. In this policy, “L1NKOS”, “L1NK”, “we”, “us” and “our” refer to L1NK Limited.

Businesses and professionals use L1NKOS to publish profiles and receive contact details. The organisation identified by the profile normally decides how submitted details are used for its own business relationship. L1NK Limited operates the platform and processes those details to provide the service. In some circumstances, L1NK Limited may also act as a controller, including for platform security, account administration and compliance.

2. Information we collect

Depending on how you use L1NKOS, we may collect:

• account information, such as your name, email address, organisation, role and authentication records;
• profile information, content, images and contact details provided by profile owners;
• details submitted through a Share details form, including your name, email address and any optional phone number, company, job title, LinkedIn address or answer you choose to provide;
• the profile and form through which a submission was made, its date and time, and its assigned profile owner or team member;
• limited usage, device and security information needed to operate, protect and understand the service. L1NKOS uses privacy-conscious identifiers and does not retain raw IP addresses in profile analytics.

3. How we use information

We use personal information to provide and secure L1NKOS, authenticate users, publish requested profiles, deliver submitted details to the relevant profile owner and organisation, assign and manage leads, provide support, investigate misuse, maintain service records and comply with legal obligations.

When you send a Share details form, you acknowledge that the information will be shared with the profile owner and the organisation responsible for that profile so they can respond to you and manage the resulting business relationship. The form links to this policy at the point of collection.

Submitting a Share details form does not by itself sign you up for unrelated newsletters or general electronic marketing. Any future marketing programme that requires separate consent must request it separately and provide a way to withdraw it.

4. Our lawful bases

Our lawful basis depends on the activity. We may process information where it is necessary to perform a contract, take requested steps before a contract, pursue legitimate interests in providing and securing the platform and enabling requested business contact, comply with a legal obligation, or act on valid consent where consent is required.

Where we rely on legitimate interests, we consider the need for the processing, its expected benefit and its effect on individual rights. Where we rely on consent, it may be withdrawn at any time without affecting earlier lawful processing.

5. Who receives information

Share details submissions are available to the organisation responsible for the selected profile and to authorised members of its team. L1NK Limited personnel may access information where necessary to operate, secure or support the service.

We may use carefully selected service providers for hosting, database infrastructure, email delivery, security, monitoring and other essential platform operations. They may process information only under appropriate instructions and safeguards. We may also disclose information where required by law, to protect legal rights or in connection with a properly managed business transfer.

We do not sell personal information.

6. International transfers

Some service providers may process information outside the United Kingdom. Where personal information is transferred internationally, we use an applicable lawful transfer mechanism and appropriate contractual, organisational and technical safeguards.

7. Retention

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, to provide the service, maintain security and audit records, resolve disputes and meet legal obligations. Retention decisions take account of the nature and sensitivity of the information, the relationship with the relevant organisation, legal requirements and whether the information can be safely deleted or anonymised.

The organisation responsible for a profile may retain a submission in accordance with its own documented business and legal requirements. When a L1NKOS account ends, information is deleted or anonymised when it is no longer required, subject to limited backup, security and legal-retention periods.

8. Security

We use technical and organisational measures designed to protect information against unauthorised access, alteration, disclosure or loss. These include access controls, tenant separation, authentication safeguards, encrypted transport, security logging and restricted administrative access. No internet service can guarantee absolute security.

9. Your rights

Depending on the circumstances, UK data protection law may give you rights to request access to your information, correction, deletion, restriction, portability or objection to processing, and to withdraw consent where processing relies on consent.

For information submitted to a public profile, contact the profile owner or their organisation first where practical. For privacy questions or requests to L1NK Limited, email hello@l1nkcards.com. We may need to verify your identity and identify the relevant profile or organisation before completing a request.

You may complain to the UK Information Commissioner's Office at ico.org.uk. We would appreciate the opportunity to address your concern first.

10. Changes to this policy

We may update this policy when the platform, our providers or applicable law changes. We will publish the current version here and update the date above. Material changes will be communicated through an appropriate platform or account notice where required.
